An email arrives from your CEO requesting an urgent, off-schedule wire transfer to secure a critical vendor deal. Everyone wants to move fast to help the business, so someone skips standard operational caution, and cash flow is redirected straight to an unauthorized account.

This scenario is called Business Email Compromise (BEC), and it remains one of the fastest ways for a business to lose serious money.

Let’s discuss how to stop it.

## One Line of Defense Is Never Enough

It is completely unreasonable to expect your employees to spot every fake invoice or spoofed email. Cybercriminals rarely spend weeks writing complex code to hack directly into your bank account anymore. They simply gain access to a mailbox, study your internal communication patterns, and ask your staff for the money directly.

When a request looks authentic and arrives urgently, even experienced financial staff make human mistakes.

To protect your capital, you need structural safety nets that stop a simple human error from turning into a six-figure loss.

## Double-Check Transfers Outside of Email

Technical filters catch a lot of junk, but your payment procedures require their own physical checks and balances. "Out-of-band verification" is just a formal way of saying you should confirm financial transactions through a secondary communication channel completely separate from the one used to make the request.

A written, non-negotiable verification process must govern every outgoing transfer:

- **Require dual sign-off** - Establish a policy where wire transfers over a specific dollar threshold require formal authorization from at least two designated managers.
- **Confirm banking details over the phone** - When a vendor requests a change to their payment instructions, verify it over the phone. Call a known, trusted phone number already stored in your directory—never the phone number printed on the new invoice or sent in the email.
- **Ban executive exceptions** - Attackers rely on artificial urgency to bypass standard security checks. No emergency, even one supposedly coming from the executive team, should override your validation process.

## Lock Down Your Mailboxes

Once your team has a process to pause and double-check payment requests, you need to tighten the technical security on your email environment itself.

- **Enforce hardware-based multi-factor authentication** - Require physical security keys or authenticator apps across your network. Text message (SMS) codes offer inadequate protection against modern interception methods.
- **Deploy core email protocols** - Properly configure SPF, DKIM, and DMARC settings on your domain. Think of these as a digital passport system that tells receiving mail servers which emails legitimately originate from your company and which ones are fake.
- **Audit inbox rules periodically** - Attackers who gain access to an inbox often create quiet forwarding rules to monitor financial correspondence without being noticed. Regularly review account settings to ensure mail flows only where intended.

## Securing Your Financial Workflow

Protecting your business from email fraud isn't about making your team's job harder. It is about eliminating single points of failure so a single clicked link doesn't compromise your cash flow.
